TEAM Industrial Services is seeking a Receptionist / Administrative Assistant to work with the Recruiting Department.
The ideal candidate is well organized and has the ability to multi-task and prioritize. The focus of this position will be to help the regional recruiters with day-to-day processing and tracking of permanent and contract applicants. As a recruiting admin, you will use numerous programs to monitor the applicant process. All applicants must have strong Microsoft Word, Excel, and Outlook skills.
This person will serve as the front desk receptionist, so must be customer service focused with a great phone voice. The reception duties will also include greeting visitors, taking and relaying detailed messages, and helping walk-in applicants.
Various other clerical duties involved.
Candidates must have a clear criminal background due to the sensitivity of personal data. Drug screen also required.

POSITION DESCRIPTION
Position Title: Administrative Assistant - Recruiting and 253 Group
FLSA Status: (Non-Exempt)
Reports to: Corporate Staffing Manager
Manages: None
Other Requirements: Monday - Friday 40 Hours a week some overtime and weekend work.
GENERAL SUMMARY
Provide administrative support for the Recruiting and 253 group.
ESSENTIAL JOB FUNCTIONS
Prepares new files
Responsible for technician file maintenance.
Files papers and documents into the appropriate file.
Works with branch personnel, recruiters and other HR personnel to insure all required paperwork is acquired prior to putting any technicians on assignment.
Coordinates drug testing for new technicians for inclusion in the 253 group.
Insures the customer first mentality is always followed when dealing with both internal and external customers.
Execute an Expectation letter with all technicians and acquires appropriate branch signatures prior to assignment on each project.
Conduct an override rate review prior to each payroll period.
Responsible for assisting with payroll issues.
Insure that upon completion each 253 assignment folder is filed and contains all appropriate documentation.
Works with recruiters to acquire any missing documentation.
Responsible for coding of all invoices for recruiting and 253 group.
Submits online customer request and assists with employee background checks.
Makes photocopies, faxes documents and performs other clerical functions.
Responsible for assisting with the updating of the 253 Matrix and all appropriate databases for technicians as needed.
Processes mail for Recruiting and 253 Group.
Performs other duties as assigned

JOB STANDARDS
QUALIFICATIONS
This position requires an Associate's degree (A.A) or equivalent from a two year college or technical school or one or more year's related experience and/or training; or equivalent combination of education and experience.
College degree is preferred.
Previous experience with ADP HRIS or equivalent preferred.
Previous experience with an Applicant Tracking System preferred.
Accounts Payable experience preferred.
WORKING CONDITIONS
Work is primarily conducted in a semi-private office/cubicle setting but does require occasional off-site travel to customer job sites to conduct field duties.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
